Refresh

  • Velixo NX

Note: This article reflects changes introduced in Velixo NX 2024.8

Using Refresh allows you to update the data returned by the Velixo functions in your report.

Velixo retrieves data from your database via the database's OData feed.  To speed up further analysis, your data is cached within the Excel workbook.  In this way, as you manipulate your data to fit the needs of your report, the results are displayed instantaneously.

This is most valuable when new data is available or when new accounts or subaccounts have been added to your database and your report includes Velixo List functions to display those values.

For example, if working with a Trial Balance report for the current period, Refresh will bring in any new transactions that have been entered into your database since the last time you refreshed your report.

Because only a subset of your data is being retrieved from the database, this can be done very quickly. The local cache is updated, and you are now working with up-to-date information.

There are three options for Refresh: Current Sheet, Entire Workbook, and All Open Workbooks.

Current Sheet

The currently displayed worksheet will be refreshed. Important: to prevent partial data updates, any precedent worksheets (referenced by the current worksheet through formulas, named ranges, chart, or pivot table objects, will be refreshed recursively.

Any additional worksheets within this workbook (or any other open workbooks) will not be updated.

Current Workbook

All worksheets within the currently displayed workbook will be refreshed.  In this way, any references between worksheets will be updated.

All Open Workbooks

This is typical Excel functionality.  All workbooks currently open with Excel will be recalculated.  In this way, any references between workbooks will be updated.

Clear Cache

The Tools section of the Velixo NX ribbon includes a Clear Cache tool:

This will remove all data currently being cached by Velixo NX.

When the report is next Refreshed, all data associated with the Velixo functions in your report will be retrieved.  This includes all new transactions, any transactional data that was already loaded, and any new underlying information in your database (such as changes to the chart of accounts, subaccounts, branches, etc.).

Because all data associated with your Velixo functions is being retrieved, this will generally take longer than a cached Refresh, and you can track the progress using the Status side panel.

Using Clear Cache is most valuable when:

  • Manual data integrity corrections have been made directly via a SQL query to the database (usually by your ERP's support or a consultant)

  • There have been changes to your system's security configuration - such as branch access restrictions or row-level security (also known as restriction groups)

  • Changes have been made to segmented key configuration (length of the account or subaccount structure)

Note: Clear Cache is not available if you have chosen to work offline.

Info: The Cancel Refresh option allows you to cancel a Refresh operation you have already started. This can be handy if a problem occurs with the connection to your ERP system, and Velixo/Excel is having difficulty completing the process.
